CCL 2002 CONVENTION MEETING

Richard & Janet Haag – Room Monitors:  Have 11 helpers, need 4 more to work 2.5 days during the convention.

ACTION:  Who runs the tape, etc. during the main speaker talks?

ACTION:  All chairmen must confirm which rooms they will be using by the next meeting.

Kirk Zongker – Fundraising:  Has contacted all sponsors from previous convention.  Still $26,000 short. 

Working with the convention book chairman, we have a new extended ad deadline:

            20 April for ads

            15 May for donors

ACTION:  put the ad list on the web

Office of Family Life has sent out a letter to the priests, posters & brochures for the parishes.

Dave & Marlene Bannwarth – Finance:  $15,168 total income to date less $5,500 total expenses to date leaves a balance of $9,600.

ACTION:  “who pays what” says that CCLI will pay the certain costs for the CCLI personnel, so should we bill CCLI for those expenses?

Jeanne Blasi – Medical

Gretchen Schrupp – Transportation

Tom & Katy Krug – Liturgy:  Cardinal Trajillo-Lopez is coming!  Last convention working priests were given stipends: $75 for mass & $25 for confessions.  Communion will be given under one species.

Kristi Tischer – SGU:  Dorm rooms: 

·        People coming in before Sunday or staying Wednesday night will pay $10 per person per night to stay in the dorms. 

·        Dorms will not be available after Wednesday night. 

·        No food service will be available prior to Sunday evening at the start of the convention. 

·        There should be plenty of parking on campus. 

·        The SGU bookstore will be open 9:00-3:00 pm Mon, Tues & Wed during the convention.

·        Need a hard number on linen packets. 

·        Need to develop a turn in procedure for linen and keys.

·        Linen packet consists of: 2 flat sheets, towel & washcloth.

·        All SGU Department Heads will attend next meeting.  Come prepared with any questions you may have.

ACTION: There will be a General Info page in the convention booklet.  Get any info you want on that page to Susan Staudt.  Susan will forward to Joan LeBlanc.

·        Ropes Course: Happiness will e-mail the Ropes course form to me for Child Care.

·        Pool:  If we want to use the pool we will have to provide extra lifeguards – 1 required for every 25 swimmers.  Let SGU know of expected capacity.  Pool is open 5:30-9:30 pm during the convention.  Lifeguards are paid $8/hr.

·        Joan LeBlanc – Convention Book:  Needs all workshop info

ACTION: Susan e-mail liturgy schedule to Joan

Kathy Rodgers – Publicity: Posters are ready.  Handed out 500 posters.  She has articles for all the papers and the secular press.

Tom Parks – Registration:  knows the editorial guy at the Daily Oklahoman.  Will try to get an article in about the convention.

Nora Josephchuk – Child Care:  Will be helping with the 10-12 year olds.  Works at a bank in Tulsa in the Internation department.

Debra Niles – Child Care Chairman: Needs 1 more adult for the 7-9 year olds.  Rick Cloud (father of 8) is going to help with child care.  Still need 3 more adults.  A church youth group might want to use this as a fund raiser.  The convention could cut a check for the group after the convention.  Also needs a music teacher.

ACTION: Susan: print and snail mail Child Care budget to Debra Niles.

ACTION: Susan: correct spelling of “Gorges” on web.

Karen Ferguson – just moved to Shawnee.

Tom Parks – Registration:

ACTION:  ALL THE CHAIRMEN NEED TO REGISTER!!!

There are currently 57 families, consisting of 230 people.  Showed samples of the name tags for the adults and the wrist bands for the kids.
